Step 1: The Welcome Plan

The first step in onboarding new members is to create a clear and easy-to-follow welcome plan. This plan should include:

  • Welcome message: Make sure to be warm and inviting. People need to feel part of your brand from step one.
  • Introduction to the community: Give them an overview of what the community is about, its values, and what members can expect to gain from being a part of it.
  • List all the resources to help new members get started: This should act as a quick and easy comprehensive guide that includes everything from guidelines to FAQs to member profiles.

Step 2: Assign a Buddy

Assigning key members from your community to onboard new users is an excellent way to help them navigate your project.

Buddies should be friendly, approachable, and knowledgeable about the community. When assigning this role, it's essential to match the new member's interests and skills with their buddy's expertise. This way, they can offer valuable advice and guidance to the new member and help them feel more comfortable and confident in the community.

Tip: You can assign this role to a particular community member or your ambassador squad!

Step 3: Provide Clear Guidelines

Clear guidelines (for Discord, Telegram, Zealy Quests, etc.) are essential for a successful onboarding process. They help new members understand what is expected of them and how they can contribute to the community.

Guidelines should cover topics such as community rules, posting guidelines, and behaviour expectations. They should be easy to read and understand and should be easily accessible to all members.

Tip: Review and update your guidelines periodically to ensure they remain relevant and effective.

Step 4: Encourage Engagement 

Encouraging engagement is crucial for a successful onboarding process. You want new members to feel welcomed and included in the community, so we advise you to open channels for asking questions, participating in discussions, and sharing ideas in your socials.

To encourage engagement, you can create welcome threads, introduce new members to existing members or organize events and activities that new members can participate in.

The main goal is to give the user a full overview of socials and any important channel for announcements, events and content they produce for their community.
Remember that the onboarding needs to be clear and short and the goal is to encourage your community to keep participating, so don't fill your Quests with an excessive amount of steps.

Attend a community event or activity

This one is awesome for pumping your AMAs, Twitter spaces and any live event or streaming. We advise you to have this arranged in time so that more people can see it.

Measuring success 

The key metric for measuring the success of the onboarding process, voted by the Zealy community, is the Retention Rate of New Members.

This metric measures how many new members continue to actively participate in the community after a certain period.

It's important to track this metric over time so that you can evaluate the effectiveness of your onboarding process and identify areas for improvement.

Here's how you can calculate the retention rate:

(Number of new members - Number of churned members) / Number of new members x 100.

There are other ways to measure successful community onboarding, such as tracking the number of new members who join the community, the frequency of engagement among new members, the diversity of new members and the quality and quantity of content that new members contribute to the community.
